GP Supervisor Accreditation and Renewal

This page provides the information about the mandatory process of accreditation or renewal as a GP Supervisor. Please see our flowchart for an overview of the process.

Accreditation and renewal process

General Practitioners can apply for accreditation as a Clinical Supervisor or Educational Supervisor during attendance of the relevant course. Renewal is required 2 years after the first accreditation, then every 5 years.

The first step of both the accreditation and the renewal processes is that the relevant set of forms need to be filled in and emailed to PrimaryCare.KSSQuality@hee.nhs.uk as a complete batch of Word files. For security reasons, we are unable to open .zip files. These forms should adhere to the templates found in the lists below.

Please note that incomplete sets of forms, or missing details, cause delays.

Clinical Supervisor first application

To be approved as a Clinical Supervisor, all the following documents must be completed:

Educator Approval Form

Certificate of completion of e-LfH Online Modules

Summary of CQC Inspection Report (if available)

Timetables set – this needs to be submitted using the template provided

Clinical Supervisor renewal

To be approved or re-approved as an Educational Supervisor, all the following documents must be completed:

Summary of CQC Inspection Report (if available)

Timetables

Feedback from previous two learners

Educator peer appraisal

Assessment of observed teaching session

Clinical Learning Environment assessment

If you are a new Clinical Supervisor in a practice that is not an approved Clinical Learning Environment, or an Educational Supervisor that has moved to a practice that is not approved, the Clinical Learning Environment Approval Form will need to be completed and submitted.

Integrated Training Post approval

To approve Integrated Training Posts, the GP Training Programme Director (TPD) should complete the GPST ITP Form. The TPD is responsible for checking with the General Medical Council whether the location is approved for doctors in postgraduate training, and to record this on the form. The GMC’s list of approved programmes and locations can be found using their website.

Review of forms and meeting

When we have received a complete set of the relevant forms, we will do the following:

  • For all GP Supervisors accrediting for the first time, we will ask them to book a meeting with the senior educator responsible for their accreditation.
  • For GP Clinical Supervisors who are renewing their CS status, we will ask a senior educator to review their forms.
  • For GP Educational Supervisors who are renewing their ES status for the first time, we will ask the ES to book a virtual review meeting with their Patch Associate Dean.
  • For GP Educational Supervisors who are renewing their ES status for the second time or after, we will ask their Patch Associate Dean to review their forms.

After these processes are complete, senior educators (e.g. Patch Associate Deans) will make a recommendation to the Head of GP School about the accreditation or renewal. A letter and a report about the outcome of this recommendation is sent to the GP Supervisor applicant the following month.

Feedback from learners

GP Supervisors should ensure that they seek feedback regularly from their learners through the Exit Interview process. A feedback form can be downloaded by clicking the following link: learner feedback form.

Support for GP Supervisors

Our GP Training Programme Directors welcome GP Supervisors to get in contact about any support that they need in their role as educators. GP Supervisors receive some financial support as per the GP Trainer Grant.
